What a week

What a week that was. We have been rushed off our feet here at Eazipay. Lots of new clients, but with over 750 other ones there is always loads to do. We now have over £11.5 million going through our accounts each month. The growth this last 12 months has been unbeleivable.

Lu paid a visit to one of our competitors the other day, just to chat through some wider industry stuff. The funny thing was, when we arrived in Lu's car we noticed they had a black German car with a personalised plate too.

We will be running the Marie Curie Direct Debit competition again this year. It is a little different this year but there are some great prizes to be had. The most important thing is raising money for a really worthwhile charity though. Throughout December we ran a competition to win a fabulous hamper. Each day we asked a diferent question on Facebook. We got a really good number of entries. As it was our first Facebook competition, we were really please with how it went.

Just before Christmas we did the draw from all of the entries and the winner was one Vicky Butterfield. SHe took delivery of the Hamper today. She did say that she had shared all the chocs, shortbread, mince pies and oat biscuits with the rest of the office, which is nice. New Year and 2011

A big Happy New Year to you all. I hope this year is really prosperous for everybody.

So December came and went. It is normally fairly quiet for us here at Eazipay, as most people start to get into the festive season and think of other things.

We had a really good 2011. We went from strength to strength. Broke all sorts of records along the way and are generally very happy with how it all went. On the website http://www.eazipay.co.uk/direct-debit-case-studies/ are several case studies showing how we have helped companies really get a grip on collecting their money. It's always great to have a success story, although we do get a lot. If you have started with us and would like us to do a case study on how we have helped you, get in touch.

We had a few changes to deal with in 2011, Naomi left us and went to www.atriumclub.com , which was really sad. But it did mean that we could promote Martin and Carl, who are doing a great job.So whilst we miss Naomi, business has carried on and both of them have really made the step up. The team is now 14, whilst we are still a very small team, we are a lot bigger than in the early days of 2002, when it was just Lu all on her lonesome. That reminds me, this year is our 10th Anniversary, need to speak to Lu to see what we are going to do, any ideas?

Business Exhibition at Earls Court

Lu and I recently went down to Earls Court for the Business Exhibition. We were reminded that it was snowing when we went last year. Maybe that was one reason the show felt better last year than this year, it was quieter, and only the truly dedicated went! This year it was very very busy. But also we felt that it was very repetitive this year, there were dozens of web designers. Everywhere you turned someone was shoving a leaflet about getting your website designed etc. or trying to get you to sign up to some Accountants.

If we go next year it would be good to see more variety in the stands. There are so many types of business services we need these days, it would be great to see more there.

Late payments reach record levels

This is a press release that we sent out. It was covered in several places, but because it is so serious, it is worth saying again...

According to figures released by payment company Bacs, the amount of money owed to small firms has reached a record three year high with the cash owed to companies by their customers standing at a staggering £33.6 billion – an increase of 10 per cent on last year’s record figure.
“Just when we were hoping it wouldn’t get any worse for small companies, it just has,” says Luisa Grey, Director of Eazipay, one of the UK’s leading Direct Debit processing companies, adding: “It seems that the worst culprits are large organisations who are keeping their creditors waiting an average of 28 days longer than their payment terms before their invoices are settled.
“The financial pressure coupled with the emotional stress can become intolerable with small companies being forced to slash their overheads in order to stay afloat – even though there is nothing fundamentally wrong with their businesses. It’s a reaction brought about purely by being paid late.”
According to the data, SMEs are owed around £39,000 each and some are being kept waiting as long as two months before being paid which not only impacts on vital cash flow buy makes business planning a near impossibility.
“The issue of late payments coupled with the banks’ reluctance to open their vaults means that small companies – which really are the lifeblood of the economy – are being squeezed unfairly, especially at a time of national and international economic uncertainty”, adds Luisa.

Blogging on a iPad

I recently bought an iPad. I was off to Fuerteventura and thought it would be much beter than lugging around a laptop. On the whole I was right, it is so much better. The only irritation is the lack of flash player and the fact it doesn't work with blogger very well.

So I thought I would write this post to ask for forgiveness? We sign up loads of lovely companies each week, and we like to highlight a few of them. Normally I can include their logo and make it look nice, but while I am off escaping the British weather, it seems it is not so easy.

I am having one of those workcations, a working vacation, which I have to say are brilliant. I can still look after everything from here and enjoy some great sun too, full in the knowledge that when I return I won't have 2 weeks of work to catch up on...

According to bacs research done by BDRC Continental, British companies are the worst payers. To those of you waiting for payment, this will come as no surprise. But can we afford to let that continue? By putting your customers on Direct Debit, you control the payment frequency and date, eliminating those cash flow issues that come from late payers.

Large corporates are responsible for many of the late payments making up the massive £24 billion owed to British small and medium sized enterprises (SMEs), according to research from Bacs, the organisation behind Direct Debit and Bacs Direct Credit.

But, in contrast with the commercial sector, the public and third sectors are meeting more of their bills on time – SMEs experiencing late payment on invoices to government and not-for-profit organisations almost halved from 11% to 6% in the last six months of 2010.

Bacs newest late payments research shows a third of SMEs reporting that big businesses are behind late bill settlement. And those operating in the manufacturing industry are most likely to suffer delay at the hands of the big corporates, where 41% of the sector's SMEs experiencing late payment said large companies were to blame for overdue invoices.

More than half (53%) of the country’s SMEs have experienced late payment – that’s up from 45% in June 2010 - with the average owed at any one time standing at £27,000. And when SMEs do finally get paid, the length of time they’ve had to wait is an average of 39 days beyond agreed payment terms, an increase of nearly eight days since June 2009. That rises to almost 50 days within the distribution sector, while businesses in the North are waiting an average of 52 days longer than anticipated – that’s almost two months.

The burden of chasing overdue invoices is also impacting on smaller British businesses, as they’re forced to spend an average of ½ a day every week pursuing payment. That equates to more than 158 million¹ man hours lost to the British economy just in chasing bill settlement.

Mike Hutchinson, head of marketing at Bacs, said: “Late payment remains a big problem for British SMEs with £billions overdue against bills, causing small businesses to use up millions of man hours in chasing invoice payment. Cash flow is an essential business priority, particularly in a period of economic uncertainty, and we urge SMEs to consider turning to automated payments wherever they can to manage the money which is under their control.”

The level of direct debit donation cancellations is falling, approaching pre-recession levels, but charities are often dismissing otherwise loyal donors after just one failed payment.

After spending the entirety of 2009 suffering direct debit cancellation rates of above 4 per cent, charities saw a slow down in cancellations last year; cancellation rates never peaked above 4 per cent, ended the year at 2.87 per cent and had a year average of 3.3 per cent – the lowest since before the recession, in 2007.

The Charity Direct Debit Tracking Report, released today by Rapidata with Bacs, found that while the trend with cancellations was positive, charities were missing out by counting missed payments as cancellations. Just a third of missed payments were the result of an actual cancellation by a donor; the report found that the majority of missed payments were the result of insufficient funds. Of those who failed a payment due to lack of cash in the account, the report found that 62.5 per cent paid the pledged donation when re-presented for payment by the charity.

Combined, the 117 charities studied as part of the survey saw a 7.8 per cent rise in total volume of regular direct debits and 9.8 per cent rise in total value, which reached £28.5m.

Donors are also giving more on average each month. The average monthly gift rose by just under £1 to £12.86 in 2010, with the area of children, young people and family enjoying the highest average gift, at £15.01.

Online direct debits have seen a good year, with the report finding a 36 per cent increase in the number of donors signing up to a regular gift online. The average such gift, however, is lower at £8.09. Gift aid take up on these online gifts is high.

Scott Gray, managing director of Rapidita, said the issue of how charities treat non-payments is critical. “For the first time we have undeniable proof that re-presenting failed direct debits prevents unnecessary loss of income, and charities need to be made aware of the issue,” he said.

“Even if you’re a small charity and you’re losing just one donation of £10 a month, month after month it adds up.”

New guide reinforces advantages of automated payments for SMEs

With £24 billion* now owed to British SMEs in late payments, a new guide for businesses, designed to highlight the cash flow and debt collection benefits of using automated payment methods, has been launched.

The Automated Payment Method Guide has been developed by Bacs Payment Schemes Ltd (Bacs), the organisation behind Direct Debit and Bacs Direct Credit, and the Institute of Credit Management (ICM), as the latest addition to the hugely popular Managing Cashflow Guide series.

The guides, which are supported by the Department for Business Innovation and Skills and endorsed by Lord Sugar, are designed to help businesses promote best payment practice under the guidelines laid out in the Prompt Payment Code. They have been downloaded more than 200,000 times since they were first launched in July 2009.

Mike Hutchinson, head of marketing at Bacs, said: “This new Automated Payment Method Guide provides an overview of the various automated payment methods available currently, and even more importantly, the benefits they can bring, such as direct cost savings, better cashflow, and greater reliability.”

Philip King, Chief Executive of the ICM, added: "Credit managers have two aims in keeping the cash flowing through their business. They want to ensure they are paid promptly, within terms and conditions that are negotiated and confirmed in advance, and they want to be guaranteed that the money is in the bank on the day that it was agreed.

Direct debit processing company, Eazipay Ltd, based in Littleport, Cambridgeshire is poised to finish 2010 on a high note having experienced significant business growth in the last two years.

Despite increasingly difficult market conditions, Eazipay, one of the fastest growing direct debit bureaux in the country, has seen its turnover increase in the last two years.

In the same period the company’s customer base has grown by 72 per cent together with a 48 per cent increase in the volume of direct debit transactions processed by the company.

January retail sales rise despite worries

According to the Sharecast site http://bit.ly/ebeCPc High Street sales were buoyant in January, despite the VAT increase. There was an increase of 9.1% from the previous January.

As it says later in the piece a lot of this can be put down to discounting from shops, and the mild weather. Casting our minds back to Jan 2010 we had some bad weather, some of the worst for years, if me memory serves me correctly.

What was absolutely staggering was the 49% increase in on-line trade. A huge increase.

What always concerns me about these reports is they are based on the major retailers, and not local shops. I appreciate they couldn't possibly get the figures together from all the independents out there, and they have to say something. But I suspect we will see a drop in how independents are fairing. Having said that I read on Paul Donno's site http://bit.ly/eo2EZR that some research has said that small companies are coping with the VAT increase, which is encouraging.

A direct marketing company is saving time, money and effort after switching to Direct Debit collections through Eazipay Ltd.

“These days, I wouldn’t be without Direct Debit. Where companies have customers who pay the same amount on a regular basis, it should definitely be a part of their business model.”

Late payment problems increased
in the last Quarter of 2010

According to Experian's Late Payment there was a significant increase in late payments to UK businesses, of all shapes and sizes in the last quarter of 2010.

Average Payment performance increased slightly during 2010 going from 22.8 days in 2009 to 22.6 days, but the performance slumped in the last quarter with the average being 25.7 days late, which is the highest since the start of the recession.

Rather unsurprisingly large businesses fare worst. Companies with more than 500 employees continue to pay companies late, despite many adopting policies to address this long term issue. However large enterprises saw the biggest improvement from an average of 38.96 days in 2009 to 35.74 in 2010.

Of course one of the most effective ways to help with late payers is to set them up on Direct Debit. Eazipay can offer very cost effective solutions to late payer problems. From just 40p per collection businesses can be safe in the knowledge that their money really is on it's way and not stuck in the post.

5.30am. Because I’m the nicest wife in the world, I always get up with my husband who has to leave early to start his job as a builder. As soon as he’s gone, however, it’s back to bed with a cup of tea.

7am. Up for good this time. As well as the children to sort out there are chickens to be fed and three dogs to walk before I leave for work.

8.30am. First job of the day for me and the other 14 staff is always checking the emails. These often number between three and four hundred and concern the Direct Debit transactions we undertook yesterday. As you can imagine, attention to detail is critical and it’s vital we get it right first time.

10.30am. A look back over the December figures and we’ve had another record month with over £8.6 million collected and 300,000 transactions and amendments carried out. We usually crack open the champagne every time we process another million pounds, and I think a record might also be cause for some celebration bubbly.

11.00am. I recently became a Money Laundering Officer and one of my jobs is to notice any odd patterns such as an sudden increase or decrease in transactions through an account. There’s almost always an innocent explanation but I meet regularly with the big banks to go over any queries.

Noon. Early lunch (well, I’ve been up a long time) and a meeting with Real, my PR company. I’m very keen to make Eazipay better known and am trying to raise the firm’s profile. We look at some ideas to help us achieve world domination.

1.00pm. Back to the office and straight into a marketing meeting to try and drum up more business. It’s amazing how many companies aren’t aware of the benefits of Direct Debit and don’t appreciate what it can do for them.

Businesses can save huge amounts in administration costs, time and bank fees and it also enables them to manage their cash flow more effectively, which is particularly important in these difficult times.

Customers like it too because there’s normally a Direct Debit discount and it’s more secure than cheques or cash. And they have complete control over their money.

2.30pm. It’s an afternoon of meeting potential and existing clients and it’s time for the first appointment.

Although companies sometimes see the potential in Direct Debit payment collections, they often think it’s technically quite difficult to arrange. As a result, a lot of my work involves reassuring and educating possible clients. We offer a full Facilities Management Service and, if required, can also take responsibility for the credit control of unpaid Direct Debit requests.

3.30pm. We also provide guidance and training for new customers in all aspects of Direct Debits and my second visit is to a new client for a training review session. I tend to take some of my sales and support team with me as unless my customer’s staff fully understand the benefits and simplicity of Direct Debit, they won’t be able to sell it to their customers properly.

4.30pm. Final customer meeting is with a franchise operation. We’ve already had a number of successes with companies such as Curves Health Clubs – whose many gyms in the

now all use Eazipay for their Direct Debit payments – and one of our main plans for 2011 is to get more franchises on board. Whether you’re a franchisee or a franchise seller, having Direct Debit already in place makes the offer that much more attractive.

5.30pm. Back in the office and there’s just time for a quick look at our new online system, which we’re launching shortly. Once it’s live, it’ll give clients the chance to upload BACS files and maintain their own client database, which will make their processes faster and costs lower.

6.00pm. Home for more chicken feeding and dog walking before attending a couple of networking meetings. I’m also on call one evening a week in case of any system errors.

10.00pm. Back home at last and ready for bed alongside a husband who’s been in bed for at least an hour.

Direct Debit makes sense for Return On Digital

Return On Digital is a full service digital marketing agency with offices in Manchester and London. It has around fifty clients who pay between £500 and £15,000 per month and almost all of them now settle their bills without the need for invoices to be raised or cheques to be sent.

For Guy Levine, CEO of Return on Digital, the decision to move to Direct Debit was a simple one.

“When I was thinking about starting Return On Digital, one thing I knew very early on was that I was going to set up a Direct Debit system. A colleague recommended Eazipay and we’ve been working very well together ever since.

“And the process itself is very simple. We give Eazipay all the details and they do the rest.

“We don’t even have to worry about the technical side of things as Eazipay does all that too. A good example was the recent change in VAT, which was all handled so smoothly it caused barely a ripple.

“Direct Debit also flags up potential problems very early on. We know within a day if a customer has missed a payment, so any businesses that are unable or unwilling to pay can be dealt with promptly.

“Customers see benefits, too. It’s equally simple for them to set up and helps with their cash flow. We can’t change the amount we take out of their account without their agreement and they are entitled to claw back what they’ve paid should something go wrong during the contract.
